A brilliant opportunity has become available for an Office Coordinator to join the team. The position is full time working Monday-Friday and the hours are 8:45am-5:15pm, the role is temporary and will be for 3 weeks. The office Coordinator is responsible for the daily operation of the office and admin tasks, the successful candiate will also be supporting the Business Operationos Manager and General Manager.
Key Responsibilities
To ensure the Reception operates in a professional manner within the agreed operating hour
To operate the switchboard in a welcoming, efficient and business-like manner
Receive, log and announce all incoming visitors to the site
Manage the meeting room’s appointment book. & associated refreshment requirements, as well as taking responsibility for the presentation of the meeting rooms & associated equipment.
Take responsibility for travel arrangements for staff (booking of hotels, taxis, flights).
Provide secretarial services to include (but not exhaustive) diary management binding, e-mail merges, faxing, photocopying (ensuing paper & ink cartridges replenishment) to the wider team as well as administrative duties to the General Manager
Take responsibility for ensuring that contact lists (internal, customer and supplier), annual leave log and company calendar are kept up to date
Check and record company credit card expenses liaising for the Finance Director and Finance Assistant.
Liaise with cleaning contractors and ensure procurement of office equipment, stationary and other office essentials.
Manage all post/courier deliveries & bookings &ensure franking machine is well stocked and maintained.
Undertake the organisation of company events and / or organisational support of marketing events when required.
Ensure the office is kept presentable at all times
Assisting with maintaining content on the Intranet
Collating & distributing the monthly newsletter
Essential Skills
Microsoft Office proficiency
Experience with Google Apps & Publisher would be an advantage
+1 year experience in team administration / reception
Self-starter/flexibility/proactivity/Reliability/good initiative
