|Working in this very important charity - The Administrative Assistant role is important and provides support to a small friendly team at the office in the centre of Reading. The role is very varied and busy throughout the year, and you will be the first point of contact for people visiting or telephoning through. Previous experience is not essential as training will be provided, but to carry out the full range of tasks the Administrative Assistant will need excellent organisational and communication skills.
Answering incoming telephone calls, welcoming visitors to the charity and dealing with the general enquiry emails
Opening and distributing all incoming mail and preparing courier services and post for despatch
Overseeing the despatch of all orders from their online shop
Organising catering and refreshments for meetings, setting up and clearing away
Ensuring that the office equipment is kept maintained and operating (for example, the photocopier and franking machine)
Maintaining all office stationery and kitchen supplies
Responsible for maintaining and archiving office copies of publications
Assisting with preparation for meetings and conferences; tasks include printing literature, poster mailing, processing registrations and generating receipts as requested
Supporting the Membership Secretary with applications and renewals
Assisting with maintenance and distribution of instrument kit loans
Supporting the Head of Finance with accounts administration
In common with other staff members, you will be expected to help with any task that is necessary to ensure that their events run efficiently.
Required Skills and Competencies
The required skills and competencies mportant for this role are:
· Excellent organisational skills and a well-developed attention to detail
Very strong verbal communication skills (both face-to-face and on the telephone)
A proactive team player who is highly motivated
Able to think creatively, use initiative, and embrace new ideas
Experience of Microsoft Office packages is desired but not essential.
This is a full-time post working 37 hours per week, but flexible working will be considered for the right candidate based on a minimum of 25 hours per week.
