|Our client is looking for a calm and collected IT Manager to join their boutique events company:
Main Purpose of the Job
Responsible for implementing and maintaining technology infrastructure for which the company provides registration and event management services.
To provide support and administration to the main the company registration system (Aventri) and subsidiary systems.
Responsible for the maintenance and administration of the company infrastructure, back office, security and technical services
Maintain the company domains, web servers and sites and any licenses or agreements used by the company.
Working alongside event management team to ensure high quality and high value pharmaceutical events are delivered to high calibre clients and delegates.
To promote the ethics of the company both within the office, in every and any communication with clients and delegates and to have a 'whatever it takesí attitude towards all aspects of the work.
Key Accountabilities and Responsibilities
Main Application Support:
Responsible for the Aventri SaaS system:
Creating processes for new events and maintaining current active events in regards to queries, payments, etc
Supporting the Event Managers and Registrations Manager for event changes and issues.
Liaising with Event Managers during the design phase.
Creating and maintaining Event websites (if applicable).
Create communication templates: invites, e-confirmations, mailers, badges, feedback forms, certificates.
Creating and maintaining Event reports and reporting functions.
Prepare kits for onsite events, maintenance of IT kit list and responsible to ensure all correct equipment taken onsite.
Occasional onsite assistance - badge scanning and installation of IT onsite equipment
Accountable for managing, maintaining and developing other company systems:
CRM system development (Salesforce).
Back office system support and development.
Aware of integrations between systems.
Creating and maintaining websites.
Responsible for managing domains and Virtual Private Servers hosted by 3rd parties.
Infrastructure and Support:
Responsible for reactive and proactive management, maintenance and support to the business with:
Server, Desktop and Network Infrastructure.
Security and compliance.
Business Continuity and Disaster Recovery.
General IT support (including break/fix scenarios).
New Technology (IT Projects).
Updating and reviewing of company Website
Responsible for managing the 3rd party relationships with support providers and suppliers.
IT Training and Support:
Induction training of all new starters.
Training and support of all users on SaaS applications and other IT platforms.
Production of training materials such as manuals, etc.
These are the key tasks as currently defined and are not listed in priority order. From time to time the key responsibilities may be varied.
Skills and Competencies
Previous or current experience of SaaS (Registration/Event software would be an advantage).
Previous or current technical experience of web coding crucial (HTML or CSS).
Experience in implementation and maintenance of new systems and processes.
Experience of setting and managing IT budgets.
Established experience with cloud-based or outsourced solutions through third party providers.
Proven experience in the support of technical and non-technical staff.
Confirmed experience in the creation of learning materials and delivering training where required.
Experience in domain administration and renewal processes.
Excellent organisational skills and evidence of project management skills
Able to articulate ideas to both technical and non-technical audiences.
Excellent interpersonal and communication skills, both oral and written.
Excellent analytical and problem-solving abilities.
Clear understanding of how to extract value from existing exported data.
Good negotiating skills with external service providers.
Excellent web coding and website management abilities (especially HTML and CSS).
Experience or knowledge of:
Aventri or eTouches
Adobe Creative Suite
Virtual Private Servers
VPS (Virtual Private Server)
